This Privacy Policy explains how Raven Automation, Inc. (“Raven Automation,” “we,” “us”) collects, uses, and shares information when you visit the ScopeAssistant website at scope-assistant.ai (the “Site”), fill out a form on it, or book a call with us. If you have questions, email [email protected].
This policy covers the Site only. Use of the ScopeAssistant application at app.scope-assistant.ai is governed by your agreement with us.
Information we collect
Information you give us
- Contact form: first and last name, work email, company, the topic you choose, and your message.
- Waitlist form: first and last name, work email, company, the PSA and quoting tools you use, a description of your project quoting process, and any additional information you add.
- Booking a Live Scope Session: the details you enter on our scheduling page, such as your name, email, and the time you pick, plus anything you share with us during the call (for example, project notes).
- Emails: anything you send to [email protected] or [email protected].
Information collected automatically
Like most websites, our hosting provider records basic technical information when you visit, such as your IP address, browser type, the pages you request, and the date and time. We use it to keep the Site secure and working. The Site itself doesn’t set cookies or show ads.
Analytics
We use Cloudflare Web Analytics, a privacy-focused service, to understand how the Site is used. It doesn’t use cookies, doesn’t track visitors across sites, and doesn’t collect personal data. It collects aggregate information such as page views, referring websites, country, and browser and device type.
Website visitor tracking (Apollo.io)
We use a website tracker from Apollo.io, a sales intelligence service, to learn which companies visit the Site. When you view a page, the tracker collects:
- the address of the page you’re viewing and the date and time of the visit;
- the website that referred you, and any campaign tags in the link you followed (such as UTM parameters);
- your IP address and basic browser and device information;
- a random visitor ID, stored in your browser’s local storage, so repeat visits can be recognized (the tracker doesn’t set cookies on the Site); and
- if you reached the Site from an email we sent, information that may link your visit to your email address.
Apollo uses your IP address to identify the organization you’re browsing from and may match your visit with business contact information it holds. We use this information only for our own internal sales purposes: to understand which businesses are interested in ScopeAssistant and to follow up with those that may be a good fit. We don’t sell it, rent it, or share it with anyone else. Apollo’s own handling of information is covered by its privacy policy. To stop the tracker from recognizing you, see “Your choices and rights” below.
How we use information
- To respond to your questions and requests.
- To schedule and run Live Scope Sessions.
- To evaluate fit for, and manage, the founding-customer program and waitlist.
- To learn which businesses visit the Site and follow up with those that may be a good fit (internal sales only).
- To let you know about founding-customer openings, availability, and related updates if you’ve joined the waitlist or asked to hear from us. You can opt out at any time.
- To understand which PSA and quoting tools our customers use, so we can plan integrations.
- To understand, in aggregate, how the Site is used, such as which pages are visited most.
- To keep the Site secure and to meet legal obligations.
How we share information
We don’t sell your personal information, and we don’t share it for targeted advertising.
We share information only with:
- Service providers that run parts of our business for us, such as HubSpot (form submissions, contact records, and meeting scheduling), Cloudflare (website hosting, security, and web analytics), Apollo.io (identifying which companies visit the Site), and our email and calendar provider. They may use the information only to provide their services to us.
- Legal and safety reasons, if required by law or to protect the rights, property, or safety of Raven Automation, our customers, or others.
- Business transfers, if we’re involved in a merger, acquisition, or sale of assets, in which case this policy will continue to apply to your information.
Our scheduling page is hosted by HubSpot, which may use its own cookies there. HubSpot’s use of information is covered by its own privacy policy.
How long we keep information
We keep information for as long as we need it for the purposes above, for example while you’re on the waitlist, evaluating ScopeAssistant, or a customer, and as required by law. When we no longer need it, we delete it. You can ask us to delete it sooner (see below).
Your choices and rights
- Opt out of emails: use the unsubscribe link in any marketing email, or email us.
- Block website tracking: clear this Site’s data in your browser, or use a browser setting or extension that blocks trackers, to stop Apollo’s tracker from recognizing you.
- Access, correct, or delete: ask us for a copy of the information we hold about you, or to correct or delete it.
- Depending on where you live, you may have additional rights under local law, such as the right to object to or restrict certain processing. We’ll honor requests as the law requires.
To make a request, email [email protected]. We may need to verify your identity first. We won’t treat you differently for exercising your rights.
Security
The Site is served over HTTPS, and we use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is completely secure, so we can’t guarantee absolute security.
International visitors
We’re based in the United States, and our service providers may process information in the United States and other countries. By using the Site, you understand that your information may be processed there.
Children
The Site is meant for businesses and isn’t directed to children under 16. We don’t knowingly collect personal information from children. If you think a child has given us information, contact us and we’ll delete it.
